Litigation Secretary - Civil Litigation

Location: Downtown San Diego, CA
Salary: Up to $85,000 annually (DOE)

We are a well-established civil litigation firm located in the heart of downtown San Diego. Our team is dedicated to providing exceptional legal services, and we are seeking an experienced Litigation Secretary to support our attorneys in all aspects of civil litigation.


Position Overview:

The ideal candidate will have solid experience as a litigation legal secretary and be comfortable managing complex cases from start to finish. This role requires strong organizational skills, attention to detail, and the ability to thrive in a fast-paced environment while working both independently and collaboratively.


Key Responsibilities:

  • Prepare, proofread, and file legal documents with state and federal courts, including e-filing.
  • Assist attorneys with trial preparation: exhibits, witness lists, trial binders, and coordination with clients and experts.
  • Manage attorney calendars, schedule depositions, hearings, and meetings, ensuring all deadlines are met.
  • Draft correspondence, pleadings, and discovery; transcribe dictation as needed.
  • Maintain and organize physical and electronic case files using Worldox or similar document management software.
  • Communicate professionally with clients, courts, and opposing counsel.

Required Skills and Qualifications:

  • Minimum 3 years' experience as a litigation secretary supporting civil litigation attorneys.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel).
  • Strong working knowledge of Worldox or other document management systems.
  • Excellent understanding of court rules and procedures, including e-filing in state and federal courts.
  • Strong written and verbal communication skills.
  • Ability to prioritize tasks, manage multiple deadlines, and maintain accuracy under pressure.
  • High level of discretion and professionalism in handling confidential information.
  • Proactive, detail-oriented, and able to work independently with minimal supervision.
